A practical plan for relocating an employee

Employee relocation works best when the company, employee and immigration adviser agree on responsibilities before travel.

Confirm the business purpose, host entity, work location, role and expected dates. Then coordinate immigration, payroll, tax, housing, insurance and arrival tasks in one timeline.

A formally appointed local provider can help with practical coordination, but cannot replace a visa, create sponsorship rights or control a government decision.

Define the assignment before choosing the route

Document the sending employer, host entity, work location, role, reporting line, business purpose, start date and expected duration. A transfer, local hire, project visit and remote-work arrangement can create different immigration, employment, payroll and tax questions even when the employee works for the same group.

Coordinate responsibilities across teams

Assign responsibility for company evidence, applicant documents, government filings, payroll, benefits, tax, housing and family support. Confirm which organisation can legally sponsor or support the route. The employer or a formally appointed independent local provider may coordinate practical tasks, but support alone does not create immigration sponsorship rights.

Do not set travel or productive-work dates solely from a business deadline. Account for employer approvals, visa or permit processing, notice periods, document validity and family applications. Define what the employee may and may not do during any preliminary business visit.

Relocation control list

  • Approve the business purpose, role and host arrangement in writing.
  • Confirm immigration, employment, payroll and tax advice owners.
  • Align applicant and dependant documents with realistic dates.
  • Prepare arrival, right-to-work and compliance checks before the start date.
